Settings
Settings
The Settings section of Dotify allows you to configure every aspect of your experience: from team organization to account security, from email customization to language preferences. Below you will find a complete guide to all available options.
Organizations
Multi-Organization
Dotify supports multi-organization per user: with a single account you can create and manage multiple separate organizations. This feature is ideal for those who:
- Manage multiple agencies or distinct brands
- Want to separate personal clients from business clients
- Collaborate with different teams on independent projects
You can switch between organizations at any time from the main menu, without needing to log out and log back in.
Data Isolation
Each organization operates in a completely isolated environment. This means that:
- Clients, deadlines, suppliers, and costs are separated by organization
- Members of one organization cannot access the data of another
- Settings (language, currency, timezone) are independent for each organization
- Subscription plans are managed at the individual organization level
Team Management
Email Invitations
To add new members to your team, use the email invitation system:
- Go to Settings > Team.
- Enter the email address of the person to invite.
- Select the role to assign.
- Send the invitation.
The invitee will receive an email with a link to join your organization. The invitation link is valid for 7 days. After this period, a new invitation will need to be sent.
Roles and Permissions
Dotify provides three role levels for team members:
| Role | Description | Main Permissions |
|---|---|---|
| Owner | Organization owner | Full access to all features, subscription management, organization deletion, role management for all members |
| Admin | Administrator | Full management of clients, deadlines, suppliers, and costs. Can invite and remove members. Cannot manage the subscription or delete the organization |
| Member | Member | Access and management of clients, deadlines, suppliers, and costs. Cannot manage the team or organization settings |
Note: each organization has a single Owner. Ownership can be transferred to another admin member by the current Owner.
Language and Localization
App Language and Email Language
Dotify allows you to configure separately the application interface language and the language of emails sent to clients and team:
- App language: determines the language of menus, buttons, messages, and notifications in the Dotify interface.
- Email language: determines the language of automatic emails sent by Dotify (deadline reminders, invitations, notifications).
This separation is particularly useful if, for example, you work with an English interface but have Italian clients to whom you want to send communications in Italian.
Available Languages
| Language | Code |
|---|---|
| Italiano | it |
| English | en |
| Español | es |
| Deutsch | de |
| Français | fr |
Timezone and Currency
For each organization, you can set:
- Timezone: the reference time zone for all dates and times shown in the app and in emails. Essential to ensure that deadline notifications arrive at the right time.
- Currency: the currency used to display all amounts related to costs, payments, and subscriptions within the organization.
Email Customization (Plus+)
Starting from the Plus plan, you can further customize the emails sent by Dotify.
Custom SMTP
Configure a custom SMTP server to send Dotify emails from your domain. This increases deliverability and strengthens your brand. To configure it:
- Go to Settings > Email.
- Enter your SMTP server details (host, port, username, password, encryption).
- Save the configuration.
- Dotify will perform an automatic health check to verify that the SMTP server connection is working.
Health check: Dotify periodically verifies the SMTP connection status. If a problem is detected (unreachable server, expired credentials), you will receive a notification to take action promptly. In case of a persistent error, emails will be temporarily sent from Dotify’s default server to avoid service interruptions.
Custom Logo and Footer
Also starting from the Plus plan, you can customize:
- Logo: upload your agency or business logo. It will be displayed in the header of all emails sent by Dotify.
- Footer: customize the email footer text with your business information (company name, address, contacts, website link).
Authentication and Security
Login Methods
Dotify supports two authentication methods:
| Method | Description |
|---|---|
| Email and password | Traditional registration and login with email address and secure password |
| Google OAuth | Quick access with your Google account, no need to create a dedicated password |
Mandatory Email Verification
After registering with email and password, Dotify requires email address verification. You will receive an email with a confirmation link that you must click to activate your account. This measure ensures that only the legitimate owner of the email address can use it on Dotify.
Anti-Bot Protection
Dotify uses Cloudflare Turnstile CAPTCHA to protect registration and login pages from bots and automated access. Unlike traditional CAPTCHAs, Turnstile is designed to be as unobtrusive as possible, often verifying the user invisibly without requiring interaction.
Brute Force Protection
To protect your account from unauthorized access attempts, Dotify implements a temporary account lockout system:
- After an excessive number of failed login attempts, the account is temporarily locked.
- The lockout lasts 15 minutes.
- After the lockout period, you can try logging in again.
- The account owner receives an email notification in case of a lockout.
Security tip: use a complex and unique password for your Dotify account. If possible, log in via Google OAuth to take advantage of the additional security offered by Google authentication (including two-step verification if active on your Google account).
