Terms and Conditions

1. General Information

This document governs the terms and conditions of use of the Dotify platform, accessible at https://app.getdotify.com and presented on the website https://getdotify.com (hereinafter “Platform” or “Service”).

(hereinafter “Owner” or “Provider”)

Use of the Platform implies full and unconditional acceptance of these Terms and Conditions. The user is required to read them carefully before registration.

2. Definitions

  • Platform: the Dotify web application, including all its features, services, and content.
  • User: any natural or legal person who registers and uses the Platform.
  • Organization: the entity created by the User within the Platform to manage their data.
  • Account: the set of credentials and personal information associated with the User.
  • Plan: the subscription level chosen by the User (Free, Essential, Plus, Ultimate).
  • Client Portal: the area reserved for the User’s clients to view their deadlines.
  • User Content: all data, information, documents, and materials uploaded or entered by the User on the Platform.

3. Description of the Service

Dotify is a SaaS (Software as a Service) platform for managing deadlines, clients, and professional activities. The Service includes, depending on the subscribed Plan:

  • Deadline management with customizable statuses and types
  • Client records management
  • Automatic email notification system
  • Recurring deadlines (monthly, quarterly, semi-annual, annual)
  • Dashboard with statistics and widgets
  • Supplier and shared cost management
  • Financial reports
  • Client portal with OTP authentication
  • Custom SMTP configuration
  • Block-based email editor with custom branding
  • Payment history
  • Multi-language support (Italiano, English, Español, Deutsch, Français)

Available features vary based on the subscribed Plan, as described in the Plans and Pricing section of the Platform.

4. Registration and Account

4.1 Requirements

To use the Platform, the User must:

  • be at least 18 years of age or the age of majority as required by applicable law;
  • provide truthful, accurate, and up-to-date information during registration;
  • have a valid email address;
  • accept these Terms and Conditions and the Privacy Policy.

4.2 Login Credentials

The User is responsible for the confidentiality of their login credentials and for all activities carried out through their Account.

4.3 Google Sign-In

The User may register and sign in using their Google account.

4.4 Email Verification

The Platform requires email address verification through a verification code.

4.5 Account Lockout

For security reasons, the Account will be temporarily locked after an excessive number of failed login attempts. The lock is automatically removed after 15 minutes.

5. Plans, Pricing, and Payments

5.1 Available Plans

Prices shown are exclusive of VAT, where applicable. The Provider reserves the right to modify prices with at least 30 days’ notice.

5.2 Free Trial Period

Users who register for the first time are entitled to a free trial period of 14 days on the Plus plan, with no obligation to enter a payment method.

5.3 Payments

Payments are processed through Stripe, in compliance with PCI-DSS standards. The subscription renews automatically upon expiration.

5.4 Upgrade and Downgrade

  • Upgrade: the change is immediate, with pro-rata billing.
  • Downgrade: scheduled at the end of the current billing period.

5.5 Payment Failure

In case of payment failure, the subscription may be suspended or downgraded to the Free plan.

5.6 Refunds

Subscriptions are non-refundable, except as provided by the right of withdrawal (Art. 52 et seq. of the Italian Consumer Code, Legislative Decree 206/2005), exercisable within 14 days by sending a communication to [email protected].

6. Plan Limits

Each Plan has specific limits regarding the maximum number of clients, deadlines per client, and access to premium features.

7. Organizations and Multi-Tenancy

7.1 Data Isolation

Each Organization operates in an isolated manner.

7.2 Team Members

The Organization owner can invite other users. Available roles are: Owner, Admin, Member.

8. Client Portal

Users with the Plus plan or higher can enable the Client Portal with OTP authentication via email.

9. Email System and SMTP

The Platform enables automatic email notifications. Plus plan users and above can configure custom SMTP. Credentials are stored in encrypted form.

10. User Content

The User retains full ownership of the Content entered. The Provider does not claim any rights over the User’s Content.

11. Intellectual Property

The Platform, source code, design, logos, and trademarks are the exclusive property of the Provider.

12. Service Availability

The Service is provided “as is” and “as available.” The Provider does not guarantee that the Service will be uninterrupted or error-free.

13. Limitation of Liability

The Provider’s total liability shall not exceed the total amount paid by the User in the 12 months preceding the event.

14. User Obligations

The User agrees to use the Platform in compliance with these Terms and applicable law.

15. Account Suspension and Closure

The User may close their Account by contacting [email protected]. The Provider reserves the right to suspend the Account in case of violation of the Terms.

16. Personal Data Protection

Personal data processing is carried out in compliance with the GDPR (EU Regulation 2016/679). For details, please refer to the Privacy Policy.

17. Cookies

For detailed information, please refer to the Cookie Policy.

18. Communications

Communications regarding the Service will be sent to the email address associated with the User’s Account.

19. Changes to the Terms

The Provider may modify these Terms with at least 15 days’ notice.

20. Force Majeure

The Provider is not liable for failures caused by force majeure events.

21. Governing Law and Jurisdiction

These Terms are governed by Italian law. For consumers, the competent court is that of their place of residence; for professionals, the Court of Padua.

22. Final Provisions

These Terms, the Privacy Policy, and the Cookie Policy constitute the entire agreement between the User and the Provider.
