Quick Start Guide to Dotify
Welcome to Dotify, the platform designed for digital agencies and freelancers who want to manage clients, deadlines, and payments in a simple and organized way. This guide walks you step by step from registration to creating your first deadline.
1. Registration
You can create your Dotify account in two ways:
- Email and password – Enter your email address and choose a secure password. You will receive a confirmation email to verify your account.
- Google OAuth – Click on “Sign in with Google” to register in a single click using your Google account. You won’t need to remember any additional password.
Tip: If you work in a team, each member will need to create their own account. You can then invite them to your workspace from the Settings section.
2. Onboarding: Set Up Your Account
After registration, Dotify offers two initial setup options:
Quick Setup (recommended)
With a single click, Dotify automatically configures your workspace:
- 6 default statuses for deadlines (To renew, Notified, Notified 2x, Awaiting payment, Paid, Cancelled), each with its own identifying color.
- 5 service types ready to use: Antispam, Domain, Hosting, PEC, and Cloud.
- Email templates pre-configured in your language, ready to send notifications to clients.
- 14-day Plus trial automatically activated, to try all advanced features without entering any credit card.
Tip: Quick setup is the ideal choice if you want to start working right away. You can always customize statuses, service types, and templates later.
Manual Setup
If you prefer to have full control from the start, you can manually configure every aspect:
- Create your custom statuses with the colors you prefer.
- Define service types specific to your business.
- Configure email templates from scratch, adapting them to your communication style.
3. Automatic Detection of Language, Timezone, and Currency
On your first login, Dotify automatically detects from your IP address:

You can change these settings at any time from the Settings > General section.
4. Create Your First Client
Now that your account is set up, you can add your first client:
- Go to the Clients section from the main menu.
- Click on “New client”.
- Fill in the main fields: name, company, email, and phone.
- Add any additional information such as VAT number and address (with autocomplete via Google Places).
- Assign one or more tags to categorize the client (for example: “Web”, “E-commerce”, “Priority”).
- Click on “Save”.
Tip: Use tags with custom colors to identify client types at a glance. For example, red for clients with overdue payments, green for those in good standing.
5. Set Up Your First Deadline
With the client created, you can set up your first deadline:
- From the client card or from the Deadlines section, click on “New deadline”.
- Select the client to associate with the deadline.
- Set the due date.
- Enter the amount and, if applicable, the associated cost.
- Choose the service type (e.g., Hosting, Domain, PEC).
- If the deadline repeats, enable recurrence by choosing from monthly, quarterly, semi-annual, or annual.
- Click on “Save”.
The deadline will appear on your dashboard with the status “To renew” and, if you have configured notification rules, Dotify will automatically send reminders to the client at the scheduled times.
6. 14-Day Free Trial – Plus Plan
Every new account automatically receives a 14-day free trial of the Plus plan, which includes all advanced features:
- Unlimited clients and deadlines
- Block-based email editor
- Custom SMTP
- Branding with custom logo and footer
- Advanced financial reports
No credit card required. At the end of the trial, your account will automatically switch to the Free plan. You can upgrade at any time without losing your data.
