Client Management
Client Management
The Clients section is the heart of Dotify: here you can create, organize, and monitor all your clients along with their deadlines and payments. Each client has a complete profile and advanced tools for categorization and consultation.
Complete Profile
For each client, you can fill in a detailed profile with all the information needed for your business:
| Field | Description | Required |
|---|---|---|
| Name | First and last name of the contact or client name | Yes |
| Company | Company name | No |
| Primary email address for communications and notifications | No | |
| Phone | Client phone number | No |
| VAT Number | Company or professional VAT number | No |
| Address | Full address with Google Places autocomplete | No |
Tip: Always fill in the email field: it is essential for automatically sending deadline notifications to your clients.
Address Autocomplete with Google Places
When entering a client’s address, Dotify uses Google Places integration to offer you real-time suggestions. Just start typing and select the correct address from the proposed list.
The benefits of autocomplete are:
- Speed – Fill in the address in just a few seconds.
- Accuracy – Data is automatically filled in correctly and completely (street, number, postal code, city, province, country).
- Consistency – All addresses follow the same standardized format.
Tags for Categorization
Tags allow you to organize clients according to custom criteria. Each tag consists of a name and a color of your choice, for immediate visual identification.
How to Use Tags
- Create custom tags from the Settings section or directly while creating or editing a client.
- Assign multiple tags to a single client to classify them across multiple dimensions.
- Filter clients by tag in the list view to quickly find the clients you are looking for.
- Choose customizable colors for each tag, to distinguish them at a glance.
Tag Usage Examples
| Tag | Suggested Color | Usage |
|---|---|---|
| E-commerce | Blue | Clients with online stores |
| Priority | Red | Clients requiring immediate attention |
| Maintenance | Green | Clients with active maintenance contracts |
| WordPress | Light Blue | Clients with WordPress websites |
| New | Yellow | Recently acquired clients |
Tip: Define a tag convention early on (for example, by industry, service type, priority) and keep it consistent. This will help enormously as your client base grows.
Deadline and Payment View per Client
From each individual client card, you can access a complete summary view that includes:
- Deadline list – All deadlines associated with the client, with current status, date, amount, and service type. You can sort them by date, status, or amount.
- Payment history – All payments recorded for the client, with payment method, date, and amount.
- Financial summary – Total amounts due, total paid, and total to be collected for the selected client.
This view allows you to have a complete picture of each client’s situation without having to navigate between different sections.
Client Archiving
In Dotify, clients are never permanently deleted. Instead, you can archive them. This approach ensures:
- History preservation – All past deadlines, payments, and communications remain accessible.
- Data integrity – Financial reports and statistics remain accurate over time.
- Reversibility – You can restore an archived client at any time, bringing them back to the active clients list.
Archived clients are not counted toward plan limits and do not appear in main views, but remain always accessible through the “Archived” filter.
Limits per Plan
The maximum number of active (non-archived) clients depends on the subscribed plan:
| Plan | Active Clients | Ideal for |
|---|---|---|
| Free | 2 | Trying out Dotify or managing very few clients |
| Essential | 15 | Freelancers and small agencies |
| Plus | Unlimited | Growing agencies with advanced needs |
| Ultimate | Unlimited | Established agencies with high volumes |
Tip: If you have reached your plan’s limit, you can archive clients who are no longer active to free up space without losing any data. Alternatively, consider upgrading to the next plan to increase capacity.
